Mailbox Keys

Mailboxes in Williamsburg Village belong to the Williamsburg Village HOA, Inc.

Homeowners are issued two keys to the mailbox number corresponding to their house number. The keys to each mailbox have a unique serial number engraved on them. This number has been recorded in our mailbox database so that replacement keys can be ordered.

In the event you lose your key and need to order a set of replacement keys, you will need to complete and submit the form below. You will be charged $50.00 for the replacement keys. You must have an active billing account with Cities Management.

Replacement keys will take 2-3 weeks to arrive. Williamsburg maintains an emergency backup key. After you have ordered your replacement keys please arrange a time to pick up the emergency key for use until your replacements have arrived by emailing the Association at contactus@williamsburgvillage.net

Replacement keys are subject to the Williamsburg Village HOA Mailbox Key Agreement shown below that you previously signed, just as your original keys were:

Mailbox Replacement Key Agreement

  1. Mailbox Key Ownership and Assignment:
    a. The HOA owns and maintains the mailboxes assigned to each residential home within Williamsburg Village with its corresponding address.
    b. The HOA assigns a mailbox to each Homeowner for their use during their residency in Williamsburg Village.
    c. The HOA will provide two (2) mailbox keys to current Homeowner, or a new Homeowner upon move-in. Please note, the HOA will NOT provide mailbox keys directly to tenants (renters) occupying a rental property. The rental property Homeowner is responsible to deliver/receive mailbox keys to/from their tenants.
  2. Responsibilities of the Homeowner:
    a. The Homeowner agrees to use their mailbox solely for receiving mail and small parcels, consistent with the guidelines set forth by the United States Postal Service (USPS).
    b. The Homeowner agrees to handle the mailbox keys with care and refrain from making copies of the key(s).
    c. In the event of loss or theft of the mailbox key(s), the Homeowner agrees to promptly notify the HOA.
  3. Replacement of Lost or Stolen Keys:
    a. If the Homeowner loses or misplaces the mailbox key(s), the Homeowner agrees to pay a replacement fee of $50 to the HOA.
    b. The replacement fee covers the cost of obtaining new mailbox keys, re-keying the mailbox, if necessary, and for shipping/mailing, and administrative record changes.
  4. Use of Mailboxes:
    a. The Homeowner agrees not to use the mailbox for unlawful purposes or to store items that may damage the mailbox or obstruct mail delivery.
    b. The Homeowner acknowledges that tampering with or damaging the mailbox may result in fines or penalties as per HOA and USPS rules and regulations. If damage to the mailbox cannot be repaired, Homeowner will be responsible for replacement cost of the mailbox.
  5. Termination of Agreement:
    a. Upon termination of residency in Williamsburg Village, the Homeowner agrees to promptly return the (2) mailbox keys to the HOA. Failure to return the (2) keys will result in the $50 replacement fee being deducted from any applicable security deposit or billed to the Homeowner.
  6. General Provisions:
    a. This agreement constitutes the entire understanding between the HOA and the Homeowner regarding mailbox keys and supersedes any prior agreements or understandings, whether written or oral.
    b. This agreement shall be governed by and construed in accordance with the laws of the State of Minnesota.
    c. The HOA reserves the right to amend this Agreement from time to time.
